What changes
Officers change. The records should not.
Every year the roster, the attendance sheets and the certificate templates live in one outgoing officer's Google Drive, and every year some of it does not survive the turnover. On Takits the event, its attendees and its certificates belong to the organisation. Add the next batch of officers as members, remove the last, and nothing moves.
Attendance you can defend.
A signature sheet proves someone wrote a name. A scanned QR proves a specific registered person was at the door at a specific minute, and the same scan cannot be used twice. When an adviser, a dean or a national office asks how many actually came, the number has something behind it.
Certificates that survive a lost file.
Issue certificates after the event and each one gets a permanent verification link. A member who loses the PDF in 2029 opens the link instead of asking a former officer to find the original.
The door works when the venue does not.
Gymnasiums, barangay halls and provincial venues have bad signal. The scanner opens and keeps scanning with no network at all, queues what it took, and sends it when signal returns.
